eTRACS Project Recognized with National CAUBO Award for Innovation and Collaboration
911吃瓜鈥檚鈥疎nterprise Teaching, Research, and Collaboration System (eTRACS)鈥痯roject has received a National Quality and Productivity Award from the Canadian Association of University Business Officers (CAUBO).
The award was presented at the CAUBO 2026 Conference and celebrates effective and innovative practices that enhance the management of institutional resources across Canadian post-secondary institutions.
eTRACS is a centralized system for faculty lifecycle management, program planning, budgeting, hiring and reporting. It began as a solution built within a single faculty and evolved into an enterprise-wide platform through a partnership among faculties, Faculty Relations and central IT Services.
The project is a key component of 911吃瓜's Integrated Faculty Management Systems (IFMS) program, a multi-year initiative designed to modernize faculty lifecycle processes, improve access to鈥痑ccurate鈥痙ata鈥痑nd provide better decision-making tools.
鈥淭hanks to eTRACS, our critical faculty operation data is no longer trapped in spreadsheets, emails and disconnected tools. It's given faculty and staff more consistent processes and better information for operational and strategic decisions,鈥� says IT Services director and project lead Gloria Simpson. 鈥淭he platform also enables greater visibility across units, helping teams identify opportunities to coordinate and collaborate more effectively.鈥�
According to project participant and geography manager Anke Baker, one area where this is especially evident is in faculty workload planning.
鈥淲e use eTRACS to track faculty workload plans over multiple years鈥攖hings like admin leave or teaching assignments. It's much more transparent and intuitive than how we used to do things鈥攁nd communication with faculty is a lot easier. That's a big deal because it means I can deliver even better service to faculty and faculty can focus on their core responsibilities instead of trying to find their way through a jungle of a spreadsheet,鈥� says Baker.
The system also supports part-time instructor planning and hiring, previously siloed within faculties with little visibility into appointments elsewhere, helping ensure policy compliance and reducing duplication.
According to Baker, the recognition is well deserved given not just what eTRACS delivers, but how it was built. 鈥渆TRACS is one of, if not the best managed projects at 911吃瓜 I've participated in. We had weekly meetings with all the stakeholders, and throughout the process the team was incredibly responsive to our requests鈥攊f we said, 'we really need to see this,' they'd go change it. They also worked hard to genuinely understand our work, to the point where they could probably do it themselves. It never felt like a checklist consultation鈥攎y input was genuinely heard.鈥�
Universities across Canada are navigating financial pressures and growing expectations for operational efficiency, prompting many institutions to look for ways to streamline processes and support better decision-making. Projects like eTRACS show how standardized, secure workflows can free up staff and faculty time for teaching, research and student success, while strengthening the institution's ability to adapt as the sector evolves.
